Managing your orders just got a
whole lot easier.


If you are taking orders in electronic form, whether it is from a telemarketing center, an ecommerce website, or a marketplace portal like eBay, you know that every step of the order process is crucial and must be handled perfectly.

Enter orderwave. Finally there is a software system that manages the complexities of order management with ease.

How order management works

Order management is a method of organizing your orders by precisely determining who ordered from you, exactly what they ordered, and figuring out how to get it to them. The concept is simple, but the execution of that concept separates the mediocre from the exceptional.

Orderwave manages this process by having clearly defined the different cycles of the order process into the orderwave-workflow. By segmenting the orderwave-workflow, we have been able to perfect each element. The elements of the orderwave-workflow are as follows:
  1. Order Retrieval
    Orders are received into the orderwave-workflow through 1 of 2 standardized methods: 1) the orderwave API or 2) the orderwave Dual File Import Format.  Both of these implementations prevent the duplicate importing of orders and are automated.

     
  2. Data Validation
    As the orders are received into the orderwave-workflow, the SKUs are validated against the existing inventory, the shipping methods are standardized, and the various payment options are certified.

     
  3. Payment Capturing (optional)
    Orderwave automatically batches these orders through any of the most popular payment gateways, carefully recording the charge amount, sub-total, tax, and freight amounts for detailed financial reporting.  Batch re-processing of declines is also available.

     
  4. Inventory Allocation
    As orders are ready for the fulfillment process, the orderwave workflow allocates available stock for the unshipped orders.  Automated inventory deductions take place at this stage.

     
  5. Data Delivery
    The orderwave workflow then neatly outputs the packing-slips (shipping invoices) in PDF and CSV formats for your warehouse personnel to ship the orders.  These are emailed to you on a schedule that you specify.


Where orderwave excels

Orderwave takes the basic principles of order management further by providing tools that manage the more complex order-based situations. Orderwave easily lets you manage:
  • Returns
    Orderwave has a separate user interface for your warehouse personnel to log product returns.  Your personnel can use an orderwave certified barcode scanner (optional) to scan returns as they are received to quickly track each product and individual quantities of the products that are returned.  They also have the ability to log the customer-defined reason for the return that trigger pre-defined automated actions on the order.  For instance, a return that is logged as a "damaged item" immediately triggers a product reshipment.  Other returns-reasons queue orders for refunds, outbound emails and calls and more. 
    The returns interface also gives the warehouse personnel the ability to receive the returns directly back into available stock if they are deemed to be in acceptable condition.

     
  • Reshipments
    When triggering a product reshipment, you can specify that you'd like the reshipment to wait until the product is returned.  As soon as the product returns are logged in, the reshipment will be released for inventory allocation and fulfillment.

     
  • Customer Service
    The customer service interface in orderwave gives the user an advanced tool-set for performing any action.  Payment transactions take place in real-time, order tracking is available and the user's fingertips, and any field can be edited.  Orderwave also has sophisticated user access levels that only give certain users the ability to perform payment transactions and more.

     
  • Credit Card Charge-Backs
    We have an internal audit department that can handle your merchant charge-backs in an accurate, timely and professional manner.  Simply direct your charge-back letters to our offices and we will handle the rest. (Additional fees apply)

     
  • Refunds
    Refunds are requested by customer service representatives and warehouse/returns personnel, but are only performed by users with appropriate access privileges.  Detailed records regarding the refund transaction are recorded so that you can accurately generate revenue reports.


  • Order Tracking
    You can have orderwave electronically communicate with your carrier to generate shipping labels and tracking numbers to have access to tracking numbers instantly, or you can use an external manifest system to generate tracking numbers and manually import them into your account.  Once the tracking numbers are available, orderwave will automatically email your customers with their tracking numbers, complete with click-able links that show detailed tracking information.

  • Order Entry
    The orderwave interface provides a user-friendly wizard for quickly entering orders - complete with customizable product and shipping configurations so you know that orders are being entered correctly.

Order management really makes sense when it is automated – orderwave has the unique ability to provide a high level of automation because of the fact that it is hosted in our facility and we have a dedicated team monitoring all of the automated aspects of the orderwave-workflow.
